Registration

Technical Session speakers are required to register for the conference at the appropriate rate. Registration is now open.


Travel and Hotel

Speakers and Chairs are responsible for coordinating and paying for their own travel and lodging. Visit the Hotel And Travel Information page for more information.

General Onsite Information

Audiovisual Information

Audiovisual equipment will be provided in each session room, including a laptop with Microsoft Office, LCD projector, projection screen, wireless slide advancer, wired lavalier microphone(s) and Wi-Fi.

Badges

Speakers and Chairs should pick up their badges from the registration desk upon arrival. More information to come on registration hours and location.

Speaker Ready Room

The Speaker Ready Room contains all final slide decks ready for presentation. Speakers should check in on the day of their presentation before continuing on to the Breakfast Session AND before their session begins (provide a wide buffer of time before presenting to check in).

  • Tuesday, February 27: 7:00 AM – 5:00 PM PST
  • Wednesday, February 28: 7:00 AM – 5:30 PM PST
  • Thursday, February 29: 7:00 AM – 2:00 PM PST

Location: Long Beach Convention Center, Room 204

Speaker Breakfast

Speakers and Chairs are required to attend the Speaker Breakfast on the day of their session(s). Please arrive promptly! Chairs will check in all speakers and provide important information. If you are presenting more than one session, you must check in with both of your chairs.

Dates: Tuesday, February 27 – Thursday, February 29

Location: Long Beach Convention Center, Seaside Ballroom AB. The Seaside Ballroom is reached from Seaside Way and cannot be reached from inside the main convention center.

Time: 7:00 AM – 8:00 AM PST

A special note for Dialogue Speakers: Instructions, thumb tacks, and time to mount posters in the Dialogue Session hall will be provided at Speaker Breakfast.

Printing And Shipping Services

Technical Dialogue speakers are responsible for printing and bringing their own poster to the conference.

APEC does not provide printing or copy services. The Long Beach Convention Center does not have a business center.

Speaker Information

Speaker Portal

Log in credentials will be emailed to you. Speakers are required to upload their draft AND final versions of their slide deck or dialogue (poster) presentation to the Speaker Portal by the stated deadlines in the table below. Session Chairs will review all uploaded materials and may provide feedback, if necessary.

Access the Speaker Portal will be shared prior to January 16, 2024. We will provide a step-by-step guide to assist you with using the Speaker Portal.

Lecture Presentation Instructions

You must use the APEC 2024 PowerPoint Presentation Template to prepare your presentation.

Your final slide deck must be uploaded to the Speaker Portal as a PowerPoint file by the stated deadline.

All presentation files must adhere to this naming format: Presentation Number followed by your Paper Title (which will also be the title of your lecture presentation) and your Paper ID (your paper’s unique four-digit code provided by Epapers).

If you do not have Microsoft PowerPoint software you can use the free presentation software, LibreOffice Impress, to prepare your presentation in PowerPoint file format.

Dialogue Presentation Instructions

Poster printing information can be found in the Technical Session Dialogue Guidelines. Speakers are responsible for printing their own poster and bringing it to and from the conference. Printed posters should be 6 feet long by 4 feet tall. Dialogue presenters can stop by Grand Ballroom AB any time after the speaker breakfast to set up their posters. Additional details regarding onsite poster instructions at business local to the conference site are provided above.

Speaker Changes

Speaker changes will be allowed with the following conditions:

  • Any new speakers must register for the conference.
  • After registering, it is required to contact speakers@apec-conf.org so this information can be correctly updated on the website.

Failure to meet these conditions may result in changes not being appropriately implemented. Please note that any speaker changes after the deadline will not be reflected in the on-site guide.


Session Chair Information

Review Portal

Technical Session Chairs will review and provide feedback for draft and final technical presentations within the Review Portal. Chairs will send task reminders to speakers through the Portal. If Session Chair is also a speaker, they need to use the Speaker Portal for uploading their presentation. The Review Portal is only for Session Chair Tasks, not Speaker Tasks.

Session Chair Training

A training session for all APEC Session Chairs (Technical Sessions, Industry Sessions, Dialogue Sessions) was held on Thursday, December 7, 2023. This training is mandatory for all APEC Session Chairs.

For papers presented in the Technical Sessions the IEEE owns the copyright. Authors are required to assign the copyright to the IEEE at the time the manuscript is uploaded to the submission portal.
